Frequently asked questions

Everything about how 1THING documents your calls, manages your CRM, and keeps your data safe.

What is 1THING?

What is 1THING?
1THING is the first AI assistant built for agents who would rather sell than do admin.
Is 1THING an AI assistant, a real estate CRM, or both?
Both — 1THING is an AI assistant that manages your data in its built-in CRM.
How does 1THING manage my client database for me?
1THING syncs with your calls, whether you call from your personal or business number. After the call it presents you with notes, a follow-up, and a new contact.
  • Inbound calls — you don't even need to log in. Just select Confirm to update the contact.
  • Outbound calls — you make them from inside 1THING, then select Confirm to update the contact.

It's also integrated with everyday AI tools like ChatGPT and Claude, so after in-person meetings you can simply speak to your AI to add a contact, set a reminder, and write notes — and within seconds 1THING is updated.

What CRM administration does 1THING handle?
All the admin that needs to happen after a call:
  • Schedule meetings
  • Set a reminder to call
  • Set a task (e.g. “hire cleaning crew”)
  • Notes
What will I still need to do myself?
You (and your admins) will still do the work you love:
  • Buy, sell, and rent for your clients
  • Build relationships with your clients
  • Make calls to leads
  • Send contracts
  • Run open houses and showings
  • Make and revise offers

You keep the work you love — without the boring stuff.

Do I still need to regularly manage my CRM?
No. You'd only manage your CRM if you want to add notes, contacts or reminders after in person conversations.
Who is 1THING designed for?
Agents who manage their own leads and clientele — whether they do the admin themselves or use a virtual assistant or staff. 1THING is meant to cut most of the admin done after calls.
Who is 1THING not designed for?
Agents who don't do enough client calls to justify $129/mo to save on admin, and agents who need to share a system with their brokerage.
Can 1THING work for a real estate team?
Yes. The AI assistant can document calls and handle post-call administration for any real estate agent. 1THING does not currently provide every brokerage management feature, such as shared team databases, lead routing, or brokerage-wide communication.
How much time can 1THING realistically save an agent?
It depends on how active you are in your CRM and how detailed your notes are. An agent typically spends ~5 minutes after each call updating the CRM. Multiply that by your calls per day, then per month — that's the time saved just after calls. What could you do with that time?

How do calls work with 1THING?

How does 1THING summarize my inbound and outbound calls?
Inbound: your phone rings, you answer, 1THING opens, you talk as usual, and a few seconds after the call it presents the summary, notes, follow-up, and new contact — you click what you want to add.
Outbound: you call from your personal number in 1THING, talk as usual, and a few seconds later it presents the summary, notes, follow-up, and new contact — you click what you want to add.
Can I continue calling clients from my existing personal phone number?
Yes. Your clients call you on the number they know — keep it. If you'd rather have a business number, 1THING provides that too.
Will clients still see my existing number when I call them?
Yes. Whether you call from your personal or business number in 1THING, that number is what's displayed.
Does 1THING summarize every call, or can I choose which calls are summarized?
You choose. Outbound calls made from the 1THING app get summarized; for inbound calls, select 1THING to summarize the call.
How quickly is the call summary available?
Calls are transcribed by Groq — the world's fastest AI. The summary is typically ready within ~5 seconds, though it can vary with call length.
How does 1THING know which existing contact to update?
If the number you called (or that called you) isn't in your 1THING contacts, it asks whether to create a new lead — pre-filling what it picked up from the call, and you add the rest.
Can 1THING identify whether someone is a buyer, seller, renter or vendor?
In the beta it isn't fully reliable yet, so it must still be confirmed by you.
Can 1THING create a call, meeting, task or reminder from the conversation?
Yes.
Can I review the information before it is added to my database?
Yes. Once the notes, activities, and contact info are presented, you can make changes — only when you're satisfied do you select Confirm to add it.
Can I undo an update after it has been saved?
An undo pop-up appears for a few seconds. After that, you'd make changes manually in 1THING.
Can I view the complete call transcript later?
Yes — log into 1THING and open the contact to find the transcript.
How accurate are 1THING's call summaries?
1THING uses the fastest speech-to-text service and Google Gemini (a top-3 AI) for summaries. There will be mistakes, but 1THING uses the best models to limit them.
Could 1THING understand and summarize multiple languages?
Yes — 1THING uses the latest Groq model, which can transcribe 99+ languages.
Will 1THING remind me when the follow-up is due?
Yes, 1THING handles the admin and notifies you when it's due via Calendar, notification on your phone, and email with the activities for the day, sent every morning.

Does 1THING record calls?

Does 1THING record every phone call automatically?
For outbound calls, you can turn recording off before making the call from the 1THING app. For inbound calls, you can turn recording on in the app when you answer.
What does the other person hear when call summarization begins?
There's no beep and no robotic “this call is being recorded” announcement cutting into your conversation. How you handle disclosure is up to you: 1THING has an account-level setting to play a recording announcement, and when it's off we prompt you to give a quick, natural heads-up instead. Recording and privacy rules vary by province and state, so check what applies where you and your clients are.
Do I need to tell clients that the call is being recorded or transcribed?
That depends on where you and your client are, so it's worth checking the rules that apply to you. 1THING gives you two ways to handle it: an account-level setting that plays a recording announcement, or — when that's off — a prompt to give a quick verbal heads-up in your own words. We'd recommend using one of them.
Where are call recordings stored?
In that contact's record. For example, if you speak with James and add him as a contact, the recording is stored in James's contact record.
How long are call recordings and transcripts available?
If they're added to the database, they're kept indefinitely.

What if the conversation happens outside a phone call?

How do I update 1THING after an in-person meeting or showing?
Log into 1THING and either add the note/activity/contact manually, or speak/type the information to the native AI and it creates it for you — whichever you prefer.
Does 1THING automatically synchronize text messages?
No — the beta version does not have text sync.
Can I paste a text conversation into ChatGPT or Claude and ask it to update 1THING?
Yes, though it's not the best way — instead, paste it into the contact's notes.
Can I speak to ChatGPT or Claude after a meeting instead of typing notes?
Yes — you can speak with ChatGPT or Claude, or speak to 1THING's native AI.
Can ChatGPT or Claude create a contact and schedule a follow-up at the same time?
Yes — or you can speak to 1THING's native AI.
Can I still update the CRM manually if I want to?
Absolutely. 1THING aims to do most of the admin, but sometimes it's quicker to add info yourself.

How do the AI integrations work?

How does 1THING work with ChatGPT?
1THING is available as an app in ChatGPT. Once you authorize the connection, you can use ChatGPT to add notes, activities, send emails, create contacts, import, export, and much more.
Can ChatGPT add contacts to mass emails?
Yes. You could say “give me a list of all my leads marked as interested,” then add them to your mass email.
Can ChatGPT prepare or send an email in my CRM?
Yes — prepare an email and send it to the contact. It appears in the activity history.
Can I ask, “Who have I not contacted in three months?”
Yes — ChatGPT returns everyone you haven't contacted in 3 months.
Can I search for contacts by location, budget, property type or intent?
Yes. Instead of manually filtering, ask 1THING's native AI or ChatGPT to pull the leads matching what you're looking for.
Will someone help me connect to ChatGPT?
Yes — it takes under 2 minutes, and we walk you through it during the onboarding call.
How safe is my information when I use ChatGPT?
1THING's ChatGPT app can access only the CRM information and actions authorized through the integration. ChatGPT Business and Enterprise data is not used for model training by default. On personal ChatGPT plans, including Free, Plus and Pro, training depends on your Data Controls settings. You can turn off “Improve the model for everyone” in ChatGPT's settings.

Is 1THING a complete real estate CRM?

Does 1THING include its own CRM?
Yes. See the CRM to check what features it has.
Do I need another CRM to use 1THING?
No. But if your current CRM has a feature you love that 1THING doesn't, you could use both.
Can I use 1THING alongside the CRM provided by my brokerage?
Totally. If your brokerage sends you leads through their CRM, keep it — receive leads there and use 1THING to do the admin.
Can I create custom fields?
Yes — an unlimited number of custom fields.
Can I classify contacts as buyers, sellers, renters or vendors?
Yes. For leads you set the intent (buyer, seller, renter, tenant). For contacts you set the role — lead/deal or vendor.
Does 1THING include buyer and seller pipelines?
Yes. Use default pipelines for buying, selling, renting, and tenants — or create your own.
Can I manage tasks, calls, meetings and reminders?
Yes — using AI or manually.
Does 1THING include automations?
No — 1THING's current version doesn't have any automations. But we are working hard on creating customizable automation workflows for the next update.
Can I send newsletters or mass emails?
Yes — 3,000 emails/mo free, and 50,000/mo for just $20.
Does 1THING synchronize with Gmail and Outlook?
Yes — 2-way sync.
Does 1THING synchronize with Google Calendar and Microsoft Calendar?
Yes — 2-way sync.
Does 1THING include reporting?
Yes — basic reporting such as:
  • Revenue for the month, 3 / 6 / 12+ months
  • How many leads came in over 1 / 3 / 6 / 12+ months
  • Conversion % from lead to deal and deal to closed, by source
Can I access 1THING from both my phone and computer?
Yes — on the web via desktop and via the mobile app.

How does 1THING protect my data?

Who owns the client information stored in 1THING?
You retain ownership and control of the client information you add. 1THING processes it only to provide the service and does not claim ownership. This doesn't affect the privacy rights your clients may have under applicable law.
Does 1THING sell or share my client data?
No. 1THING never sells client data or shares it for advertising. Limited information is disclosed to service providers required to operate 1THING (cloud hosting, telephone, email, AI), to integrations you authorize.
Who at 1THING can access my database?
No one at 1THING is allowed any access to your data. If you do need help finding data, or deleted it accidentally, you can call 1THING, provide your login and one time code to a representative to search the database and find your data.
Where is my CRM data stored?
In a managed PostgreSQL database hosted by Supabase on Amazon Web Services (US East). Files and attachments are in managed object storage, and the app runs on Vercel. Call recordings stay with your phone provider (e.g. Telnyx or Zoom) — we keep only a secure, time-limited link, never a copy.
Is my data encrypted?
Yes. All traffic is encrypted with TLS (HTTPS). Your database and files are encrypted at rest with AES-256. On top of that, access tokens for your connected email/calendar accounts — and any AI keys you provide — are separately encrypted at the application level.
Is my information used to train public AI models?
No. 1THING's built-in AI features run on commercial AI APIs that don't use customer inputs or outputs to train their general-purpose models by default. If you access 1THING through your own ChatGPT, Claude, or Gemini account, that provider's plan and privacy settings also apply.
How does 1THING protect my email, calendar and AI credentials?
When you link Gmail, Outlook, or Google Calendar, we request only the permissions a feature needs, and you pick which capabilities to grant — Email, Calendar, and/or Contacts — before connecting. You can narrow or change this later, and disconnecting removes 1THING's access.
What happens to my client information if I cancel?
If you cancel, best to export all your data before the end of your subscription. We won't pressure you into renewing your subscription — if you haven't exported your data by the end of your subscription, we provide a grace period of 7 days, when you could log in and export your data.
How long does 1THING retain my information after cancellation?
1THING waits until your subscription expires, then confirms whether the data can be erased. If yes, it's erased right away; if not, within 7 days.
